Summary of the Job

The Retail team is instrumental in key operational day-to-day tasks and projects by serving as a critical connection point between internal and external stakeholders collaborating on projects.

The Retail Project Coordinator must have strong strategic outlook and understanding of project workflow to meet final project outputs. The successful incumbent should have excellent planning and coordinating skills across the business unit with a key focus on being able to re-prioritise work streams with high priority projects. Strong people management focus is high priority in this role.

The Retail Project Coordinator must be a team player with excellent organisational and communication skills, who is independently motivated with a strong desire to learn in a uniquely disruptive retail environment.

Key responsibilities

  • Drive projects from beginning to end ensuring they are delivered on time, in full, within budget and to the agreed quality standards,
  • Effectively manage multiple projects and changing priorities, defining project scope, key deliverables, and measures of success with buy in from management,
  • Schedule and track the status and progress of each project until completion,
  • Monitor support calls logged on ServiceNow and schedule Retail support resources on daily, after hours and weekend to ensure calls are closed within customer SLA agreements,
  • Manage the Retail Refurbishment plant resources and stock on a daily basis ensuring faulty labels are refurbed in an efficient and productive way and delivered to customers in 4 day turnaround time.
  • Make sure the Plant process are followed and comply to ISO company standards,
  • Plan plant resources effectively to deliver cost effective outputs,
  • Provide reports that measure plant output and turnaround of faulty/return labels issues as well as refurb stock bought from customers and/or Pricer,
  • To be responsible for, and ensure compliance to, all Organization, Health, Safety and security requirements within the Retail Business unit including the plant,
  • Follow up with customers on projects and refurbished plant deliveries continuously (Beginning to end) to ensure customer satisfaction,
  • Regularly communicate project updates internally, making sure all key documents are completed and with internal stakeholders ready for sign off. Highlighting any key risks, issues, or dependencies,
  • Manage cross functional internal project activities across several functions,
  • Assist with project functions in the Digital Cluster,
  • Ensuring project documents are complete, accurate and provided to procurement or accounts,
  • Make decisions on day-to-day activities to ensure project delivery – escalate issues as appropriate,
  • Provide ongoing project support to manage urgent and priority tasks, deadlines and challenges,
  • Assist with setting due dates for various stages of job completion after consulting with management and customers,
  • Support the installation teams by keeping jobs on schedule; and rescheduling due dates,
  • Support the account executives and procurement function to make sure project documentation is accurate and complete enabling timeous invoicing,
  • Analyse weekly product and supply levels to anticipate inventory problems and shortages,
  • Analyse and manage retail stock to ensure sufficient supply for projects at all times,
  • Update relevant stakeholders or team members on the project progress,
  • Support development and review of cost estimates for projects of varying scale (budgeting),
  • Support development of commercial scopes of work and estimates for projects,
  • Experience in embedding and automating project processes to increase teams efficiency,
  • Work closely with management to improve existing systems and processes that foster better collaboration, communication, innovation and improved output on an ongoing basis,
  • Special in house Projects – Revamps & shows/exhibitions,
  • Authorizing Payroll & Petrol Claims Monthly,
  • Management of assets which must be reported monthly,
  • Outsource management,
  • Report on actual cost vs budgeted cost,
  • Report on Actual GP vs budgeted GP,
  • Approval of Field Technicians/Assisting Field Technicians time sheets, casual timesheets and payments,
  • Approval of flights accommodation and S&T,
  • Review, develop and constantly refine business Processes and plan their delivery/deployment.

Qualification & Experience

  • A minimum of 2 years’ experience in a similar role,
  • Experience across the entire project lifecycle,
  • Experience of MS Project, Excel, MsWord and VISIO,
  • A Project Management certification,
  • At least 5 years project management experience in large organization,
  • Experience within an FMCG environment would be advantageous.
