Role: Coastal: Head of Admin and Logistics (Fixed Term)
Reports To: National Head of Admin and Logistics
Office location: Cape Town

Main purpose of the job:

The primary role of the Head of Admin and Logistics is to be responsible for overseeing the daily duties of the team consisting of service administrators and logistical controllers. This includes processing all procurement requests, tracking and following up on local and international shipments, invoicing and supporting documentation repositories.

Key responsibilities:

  • Ensure the processing of orders received on various service contracts
  • Ensure all transactions meet the required financial metrics
  • Develop a close working relationship with financial and procurement departments
  • Apply all financial governance policies and procedures
  • Maintain forecast updates to assigned sales teams
  • Update and report on all service transactions
  • Update and report service performance dashboards to management
  • Maintain site records containing all historical transactions, photo evidence and project notes
  • Provide operational support to project and service managers
  • Perform administrative functions related to contract services administration
  • This includes, but is not limited to, procurement processing, stock ordering and delivery tracking, loan stock tracking, service records and invoicing
  • Maintain 100% data accuracy within electronic systems and platforms used by this team to perform their duties
  • Maintain all relevant documents

Knowledge:

Competencies

  • Extensive knowledge of Microsoft Office applications
  • Extensive knowledge of the Smartsheet platform
  • Good service management platform knowledge
  • Project Management Analytics
  • Excellent personal organization and business administration skills
  • Good financial knowledge to be able to compile & maintain financial tracker documents.
  • Accuracy and attention to detail

Experience & Qualifications

  • 8 – 10 years’ working experience in a similar role
  • Matric
